RECORDS MANAGEMENT MADE EASY

When you need to record individual activities or collect measurement parameters, records management can be handled more easily with dotBusiness – checkpoint (app store: Andoid and Apple).
You can perform checks using the checklist, record the required measurement parameters and the proportions of the values of the measurements taken.


WHERE ARE RECORDS NEEDED?

The most common examples are: records of various cleaning services, records of sterilizations and disinfections in healthcare, records of disposing of municipal waste, records of access to personal data, records of activity in the wine and brewing industry, records of activities in the food industry, records of measured parameters to meet the requirements of food standards, records of janitorial work, records of completed tasks in the field of education and in kindergartens, records of maintenance work by building administrators,…


When managing the records, we can simultaneously list the parameters of various measurements, as well as define the proportion of individual parameters.

THE INVENTORY OF PARAMETERS

Some common examples include: inventory of water measurement parameters, inventory of parameters in the hospitality industry, inventory of parameters in the food industry, inventory of parameters in the pharmaceutical industry.


SIMPLE DEFINITION OF TASKS

The included parameters can be set for each task:

  • performance services,
  • consumption of material,
  • frequency of tasks,
  • duration of tasks,
  • start of implementation,
  • requiring a report,
  • requiring evidence (images, GPS location),
  • requiring feedback including user reviews,
  • sending promotions and notifications,
  • recording of measurement parameters or proportions of a particular measured parameter.

All the required parameters are entered through the web portal into checkpoints including set microlocations of records and measurements.

Each task performer (employee or external contractor) is assigned the microlocations where they will perform individual services and the material they will use for the inventory.

The user also specifies whether a start and end location are required and, if necessary, takes a picture of the initial, intermediate and final status/condition.


CARRYING OUT TASKS

The task performer receives an e-mail containing a password entry link for signing up/logging into the dotBusiness checkpoint application on their phone (iOS or android).

The application can be downloaded for free from the app store (either Google or Apple).

After logging into the app for the first time, the task performer scans the QR code at the service location (it can also be manually selected from the list of microlocations and job types) and by doing so, starts recording the task.

Depending on the arrangement or given the need, the initial or intermediate status may be photographed or commented, and the consumption of material may be recorded.

After the job is completed, the task performer simply completes the task, the parameters of which are automatically saved under the “activity” section. The task performer can view their activities on their phone.


COMMUNICATION BETWEEN THE SUPERVISOR AND THE TASK PERFORMER

Using the web portal, the task performer can be sent a message or instructions on how to carry out a task.


OVERVIEW OF ACTIVITIES AND COSTS

Using the web portal, the supervisor can review activities and costs at any time according to the selected parameters. In addition, they can receive an automatically generated personalized report by email, based on requested and previously agreed requirements.


VISITOR AND CUSTOMER REVIEWS

When we want feedback from visitors, customers, supervisors, we simply enter the rating parameters into the web portal for each microlocation.

The QR code can be accentuated using an acknowledgement, a plaque or a notice to attract users to scan it and redirect them to reviews/ratings, surveys and our promotions.

The user is automatically directed to the review page and the list of microlocation activities.

The user can be offered the chance to participate in a prize contest and can be shown a notification or a daily promotion.
